After years of experience in the audio-visual industry, we have gathered this information to share with you.

Use the tips and tricks listed bellow, and you will be well on the way to staging a successful event.

We supply this service to you for your benefit.

  • Most venues include a stage, a lectern and sound in their room hire cost. The sound system provided is often a ceiling speaker system that is fine for speech re-enforcements but not adequate for music reproduction or pre recorded segments.
  • Allow  a distance  with a ratio of around - 2:1 from the position of your data projector to the screen. For a 12' screen the projector would have to be placed a round 24' back into the room. The seating can be set forward of this as long as a V shape is left in the seating so peoples heads don't shadow the screen.
  • When using a LCD projector for a presentation, you should connect the laptop to the projector with the appropriate leads then switch everything on, this will allow the laptop to register the projector. If the image does not appear straight away the press the function button that says LCD/CRT ( F4-5-6-7-8 depending on mode of computer)
  • If you are using Power point there are few short cut keys you can use:
    * F5 will start the presentation from the start
    * Press the slide number and enter to go to that slide
    * Esc will end the presentation.
  • Always use contrasting colours (say blue or yellow) so that it is easy to read. Don't set the writing too small, you should stand a couple of meters away from your monitor and try and read the writing. If you can then the font is fine for projection.
  • You should consider what is seen on the screen when people arrive, and in between presenters. It does not look good having a blank screen at any time.
  • Allow ample time before the show for a technical run through of the event with the technician and the presenters. This will make the presenters and technicians a lot less nervous and the event will run much smoother.
  • When writing event schedules allow time for the set up and consider how long it will take to set up the equipment.
  • When selecting a staging supplier, make sure that you feel confident that they understand what you want. Try and give as many facts as possible at the first briefing i.e. Job title, job date, show and set up times and if possible an estimate of the budget.
